Office Manager Cover Letter Example

Office manager is a scope-defined job: the letter has to establish how big an operation you ran (headcount supported, budget managed, vendors handled) before any claims about organization mean anything. The best letters also include one money story, because whoever reads it signs the invoices you'd be managing.

Adapt the example below to your own office's scale, and keep it consistent with your office manager resume example.

The example letter

Dear Mr. Ferrante,

I'm applying for the Office Manager position at Copper Gate Advisors. For the past five years I've run day-to-day operations for a 60-person professional services office: a $340K annual operating budget, 14 vendor relationships, facilities coordination across two floors, and onboarding logistics for roughly 25 new hires a year.

The part of the job I take most seriously is being the person who notices. Last year I rebid our janitorial, coffee, and copier contracts and cut those line items 18% without a service downgrade, and I rebuilt our new-hire day-one checklist so equipment, badge, and accounts are ready before arrival, which ended the first-week IT scramble our managers used to complain about. I keep books-adjacent work clean in QuickBooks, process invoices for approval within 48 hours, and manage the office calendar, travel, and event logistics in Google Workspace.

Copper Gate's posting mentions supporting a planned office move in 2027. I coordinated our two-floor consolidation in 2024, from vendor walkthroughs to seat maps to weekend cutover, and we opened Monday morning with working phones and zero lost equipment.

I'd enjoy discussing how I can make your office the thing nobody has to think about. Thank you for your consideration.

Sincerely,

Renata Kowalczyk

Writing tips for Office Manager cover letters

  • Define your scope in the first paragraph: people supported, budget managed, vendor count, square footage or floors. "Organized" means nothing without the size of what you organized.
  • Tell one procurement or cost story with a percentage. The person hiring an office manager approves the invoices, so proof you protect budgets lands harder than any soft skill.
  • Name your systems precisely (QuickBooks, Google Workspace or Microsoft 365, badge and facilities platforms). Office managers inherit running systems, and overlap shortens the handover.
  • If the posting hints at a move, renovation, or growth phase, address it with your closest comparable project; one-time projects like moves are often the hidden reason the role is open.
  • Show ownership of onboarding logistics. It touches every manager in the company, and being good at it is the fastest way an office manager becomes indispensable.
